Add a Truck
Company admins, safety, settlements, accounting and dispatcher users can add equipment. Your plan sets how many active trucks you can have; if you're at the limit, CloudTMS shows an upgrade prompt instead of saving.
Add a Trailer
Trailers don't count toward a plan limit.
- On Fleet Management, click Add Trailer. (page: /fleet)
- Enter the Unit number (required) and pick a Trailer type: Dry Van, Reefer, Flatbed, Step Deck, Lowboy or Other. (page: /fleet)
- Optionally add Year, Make, Model, VIN, License plate, Plate state and Plate expiry, then click Add Trailer. (page: /fleet)
Complete the Unit Profile
Click any unit in the list to open its profile. Trucks have the tabs Overview, Compliance, Maintenance, DVIRs, Loads, Fuel and Notes; trailers have Utilization in place of Fuel.
By default, trucks must have Registration, Annual Inspection, Insurance Certificate and IFTA Registration on file. Trailers need the same minus IFTA Registration. Title, photo and lease agreement are optional. Company admins can change these on Document Requirements.
Dispatchers and executives can view unit profiles but can't edit them.
- On the Overview tab, click Edit Unit Details to change the VIN, year, make, model, plate, plate expiry and registration expiry, then click Save. (page:
/equipment/trucks/[id]) - On the Compliance tab, click Upload on each document row and pick the file. Use Replace to swap in a renewed document. (page:
/equipment/trucks/[id]) - Trailer profiles work the same way. (page:
/equipment/trailers/[id])
Import Many Units at Once
- On Fleet Management, click Import Vehicles and follow the steps on Data Import. Company admins, accounting, settlements and executive users can open this page. (page: /settings/import)
