Where in CloudTMS: /compliance, /notifications, /settings/notifications, /settings/document-requirements, /drivers/[id], /equipment/trucks/[id], /equipment/trailers/[id]
What CloudTMS Tracks
For drivers, CloudTMS checks the driver qualification file: CDL, medical card and the other required items on the driver's Documents tab. For trucks, it checks registration, insurance, IFTA registration, annual inspection and plate expiry. For trailers, registration, insurance, annual inspection and plate expiry.
A document is expiring soon when it expires within 30 days. A document that is missing, or uploaded without an expiry date, counts as expired.
Only active and inactive drivers are tracked. Applicants and terminated drivers are left out.
Use the Compliance Center
Only company admins, safety and executive users can open the Compliance Center.
- Open Compliance Center from the sidebar. The cards at the top show Non-Compliant Entities, Blocked From Dispatch, Expiring (30 Days) and Compliance Rate. (page: /compliance)
- Narrow the list with All, Drivers, Trucks or Trailers, choose a Horizon of 30d, 60d or 90d, or search by name or document type. (page: /compliance)
- Work through the groups from the top: Blocked from Dispatch, Expired, Expiring Soon, Onboarding In Progress and Compliant. (page: /compliance)
- Open a driver or unit and click the button next to a document (Upload, Upload New, Renew or View). Add the file and dates, then click Save. A few document types can't be updated here yet; the panel tells you to open the driver or unit profile instead. (page: /compliance)
- Click Export CSV to download the current list. (page: /compliance)
Notifications and Emails
In the app: a daily check posts compliance notifications to the notification bell for company admin, safety and executive users. Each document gets one notification per state (expiring, then expired), and it clears on its own once the document is fixed.
By email, per notification: each user decides whether those notifications are also emailed. On Notification Preferences, use the Compliance Expired and Compliance Expiring toggles (both on by default), or click Pause 24h to pause all notification emails for a day.
Weekly digest: once a week, CloudTMS emails a compliance digest to every active company admin and safety user (or to the company email if there are none). It lists up to 50 items expiring in the next 60 days and links to the Compliance Center. The digest is sent separately from Notification Preferences, so those toggles and the pause button don't stop it.
In the driver app: a driver with an app login sees a banner when their CDL or medical card has expired or expires within 30 days.
When Gaps Block Dispatch
On Document Requirements, company admins choose how the Dispatch Document Gate works. Strict (the default) stops a dispatch when a driver has a document gap. Advisory lets the dispatch go ahead and shows the gap as a warning.
Some problems always block, whichever mode you pick, including an expired or missing CDL or medical card. Advisory changes what dispatch does. The Compliance Center, roster badges and profiles still show every gap.
