Pay Periods and Settlement Schedules

Set how often each pay class settles, override the schedule for one driver or fleet owner, and choose whether drafts are created automatically.

Set the Company Schedule for Each Pay Class

CloudTMS has three pay classes, each with its own schedule: company drivers, owner-operators (lease operators are included here), and fleet owners. Only a Super Admin or Company Admin can save changes; the other roles listed can view the page.

  1. Open Settlements, then the Configuration tab. (The same screen is also at Settings → Settlements.) (page: /settlements?tab=configuration)
  2. Click the Pay Classes tab. (page: /settlements?tab=configuration)
  3. In Company driver settlements, Owner-operator settlements and Fleet owner settlements, pick a Frequency: Weekly, Bi-weekly (every other week), Semi-monthly (1st + 16th), Monthly or Manual (no auto-generate). (page: /settlements?tab=configuration)
  4. Pick the Day of week (weekly and bi-weekly) or Day of month (monthly, 1 to 28). Semi-monthly always runs on the 1st and 16th. Each card shows the Next settlement run date. (page: /settlements?tab=configuration)
  5. Click Save. (page: /settlements?tab=configuration)

What Period Each Run Covers

A run always settles the period that ended the day before the run day, in your company's time zone. Weekly covers the 7 days before the run day, bi-weekly the 14 days before it, monthly the whole previous calendar month, and semi-monthly the 1st to 15th (settled on the 16th) or the 16th to month end (settled on the 1st).

Back-to-back runs on the same schedule cover back-to-back periods, so every day falls in exactly one period.

Override the Schedule for One Driver or Fleet Owner

A driver who belongs to a fleet owner settles on the fleet owner's schedule. The automatic run does not use that driver's own Pay Cycle override.

The Pay Classes tab shows a notice with the number of drivers who have their own override.

  1. For a driver: open the driver, go to the Pay & Settlements tab, and click Edit on the Pay Cycle card. (page: /drivers/[id]?tab=pay)
  2. Under Cadence, choose an option marked (override) and set the day, or choose Use company default to go back to the class schedule. Click Save. (page: /drivers/[id]?tab=pay)
  3. For a fleet owner: open the fleet owner and click Edit on the Settlement Schedule card on the Overview tab. The choices are the same. (page: /fleet-owners/[id])

Automatic or Manual Draft Creation

Generation Mode at the top of the Pay Classes tab controls whether drafts are created for you. With Auto-Run on Schedule, a daily job opens draft settlements on each pay class's run day. With Run as You Go, nothing is created automatically. Use Run Settlement on the Settlements page, or Settle Now on a driver's Pay & Settlements tab, instead.

The setting saves as soon as you click it. The Settlements page header shows the current mode and when the last automated run happened. Either way, automatic runs only create drafts. Someone still reviews and approves every settlement.

A pay class (or a driver override) set to Manual is never settled automatically, even with Auto-Run on Schedule on.
